Engineering accommodation splits into two very different problems: single consultants on three-to-nine-month secondments, and EPC teams mobilising in blocks against a construction programme. The cost logic, contract length and expenses treatment differ for each, and getting them confused is what makes travel budgets overrun.

Figures are indicative per-head, per-night rates for exclusive-use furnished properties booked for 7 nights or more, based on Trade Rentals bookings across Scotland in the last 12 months. Hotel comparison uses mid-week mid-market room rates in the same city. Rates exclude VAT and vary with headcount, season and property type.

Expenses and policy alignment
- Confirm the accommodation type is inside your travel policy's long-stay category
- Check whether the per-diem reduces when self-catering is provided
- Retain VAT invoices with PO references for reclaim
- Record the 24-month rule position for temporary workplace treatment
- Agree who approves extensions before the break date lands

HMRC's 24-month rule governs whether a secondment location stays a temporary workplace for expenses purposes — confirm the position with your finance team before extending past two years.
